THE PROBLEMS

Lack of efficient office schedule app
The interface of the original meeting schedule system is confusing.

Since the number of existing offices cannot meet the demand due to the increase in employees, the department needs a new and flexible office model.


THE SOLUTION

  • Avoid the embarrassment of two people using the same furniture at the same time.

  • Quickly switch between individual tasks or create meetings
  • Group management of staff in different departments
  • Different groups have different icons, which is convenient for meeting initiators to identify.

A comprehensive app design is crucial to address the challenges faced by UC Davis' traffic service department, including limited conference room availability and scheduling conflicts. The COVID-19 pandemic has amplified the need for remote or hybrid meetings, exacerbating these issues. To inform the app's design enhancements, a questionnaire survey was conducted among 23 employees, capturing key insights and data. The graph above visually represents the survey findings, emphasizing the importance of resolving conference room management challenges within the department.

User story:
I seek a flexible working approach for my employees amidst the changes caused by COVID-19. Hybrid meetings have become the norm, but conflicts arise due to limited office space. The current schedule system is chaotic, resulting in missed meeting times for field employees. Furthermore, due to limited office facilities, volunteers lack individual desks. I desire an app that can effectively manage schedules and provide information on office facility availability, ensuring efficient utilization of resources. Implementing such an app would improve coordination, productivity, and overall effectiveness in our dynamic work environment.

Simplifying the use process is the key

Changed the visual of the Task cards

  • The task list utilizes different icons and maintains visual unity.

  • Displaying task content does not require users to click to view task details.

  • Task times and locations in different colors and font sizes.

Modify personal tasks and meeting creation layout

  • Simplify personal tasks and create meeting flows

  • The new time selection component makes time selection more intuitive

Improvement of office facilities and meeting room reservation interface

Project follow-up planning and reflection

Plans for the project have been handed over to ucd transportation as part of an upgrade being considered for the building

  •  I will continue to follow up on the progress of the project, and the UCD transportation department will hold a new transportation department office renovation plan next year.

  • In the future as an app designer, I will pay more attention to the needs of users.

  • Simplify the user process and improve the user experience is an app Primary design considerations.
